What data we collect
When you submit our contact form, we collect the following:
- Your first name
- Your email address
- Your business name (if you choose to provide it)
- A description of what you sell or do
- Which services you're interested in
- Any additional notes you include
We do not collect payment details, phone numbers, or any sensitive personal data.
How we use your data
We use the information you submit to respond to your enquiry. Specifically, we use it to:
- Reply to your message with a proposal or answer your questions
- Follow up if you haven't responded (once, not repeatedly)
We do not share your data with any third parties. We do not add you to any mailing list without your explicit agreement.
Legal basis for processing
We process your enquiry data under legitimate interest — you've contacted us as a business to ask about our services, and responding to that is a reasonable and expected use of your data. We've balanced this against your privacy interests, and we believe processing is appropriate here.
How long we keep your data
Enquiry data is retained for 12 months from the date of submission, then deleted. If you become a client, we retain relevant records for the duration of our working relationship and in accordance with our legal obligations as a registered company.
Cookies and analytics
This website uses Google Analytics 4 to help us understand how visitors use the site — for example, which pages are most visited. Google Analytics uses cookies (small files stored on your device).
We only set analytics cookies after you give your consent via the banner shown on your first visit. If you decline, no analytics cookies are placed and no tracking data is sent to Google.
Google Analytics collects data including: pages visited, time spent on the site, approximate location (country/region level), device type, and how you arrived at the site. This data is anonymised — it cannot be used to identify you personally.
You can withdraw consent at any time by clearing your browser's local storage or cookies, which will trigger the consent banner to reappear on your next visit.
Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Correct any inaccurate data
- Request deletion of your data
- Object to our processing
To exercise any of these rights, email us at chamith@nexcode.co.uk. We'll respond within 30 days.
If you're not satisfied with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
